What's actually wrong

The team isn't short on documentation. The team is short on retrieval. There's a runbook in Notion, a thread in Slack from eight months ago, an ADR in a GitHub repo nobody opens, a customer FAQ in Confluence, a contract in Drive. The answer exists. It's the search that breaks.

Every wiki ever built starts as a tool and degrades into a graveyard. Pages get written; pages stop getting opened. Stubs accumulate. The new hire asks the same question the senior engineer answered three weeks ago in a Slack DM. Onboarding becomes a scavenger hunt.

A knowledge base isn't a tool you adopt — it's a behavior you fail to maintain. The honest measurement isn't "how many pages does the wiki have." It's "what's the median time-to-answer when somebody asks a question we've already answered." For most teams, that number is hours. Sometimes days. Sometimes never.

What we built instead

One archive with semantic search across the whole thing. Hybrid search reads keywords and meaning at once, so the question's intent finds the answer's wording — even when they don't match. NoteRank scores each note by how connected it is to the rest, so the load-bearing material rises before stubs do.

AI search returns answers, not links. The knowledge graph shows where the team's institutional knowledge actually clusters — onboarding docs, runbooks, customer FAQs, engineering decisions. And through MCP, the same archive answers from inside Claude, Cursor, and ChatGPT, so the new hire never has to leave the tool they're already in.

We don't call ourselves a knowledge base. We call it the missing function of the team's memory — the part that surfaces the answer the moment somebody asks it.

§ 05 · The lineage

Thirty-five years of trying to put the team's answers in one place.

The internal knowledge base arrived as a wiki in 2004. The need arrived earlier — every company that grew faster than its institutional memory could keep up. Knovya is the latest answer to a very old question: where does this live?

  1. 1990s Corporate intranets

    The first attempt — a portal of links

    Companies wrap an HTML homepage around the file server. The intranet is born: a directory of directories, a phonebook for documents nobody reads. The promise is unification; the reality is another place to forget where things are.

  2. 2002–04 MediaWiki · Confluence

    The wiki era — anyone can write a page

    MediaWiki ships in 2002; Confluence follows in 2004. Hierarchical pages, version history, collaborative editing. The bet is that writing is the bottleneck. It works, until the wiki has ten thousand pages and nobody knows which ten matter.

    Q&A as a knowledge format

    The questions become the spine. Answers get voted; canonical answers float. The format survives because it mirrors the actual unit of demand — somebody asked a thing. The miss: the rest of the team's knowledge that doesn't fit the Q&A shape stays elsewhere.

The bet Truth as a workflow. Cards have owners, expiration dates, and a "verified by" stamp. The KB ships with a built-in admission that knowledge decays.

The new hire asks. The KB answers.

Day three on the team. They open Claude, ask the question in natural English. The answer comes from the archive — with the source ADR linked, no forensics required.

Surface 02 · Cursor

Mid-keystroke, the precedent surfaces.

The engineer doesn't open the wiki. They ask the IDE. MCP pulls the ADR, the postmortem, and the original Slack thread — into the cursor's chat panel, inline with the code that prompted it.

The question stays in the channel.

When somebody asks in Slack, the bot replies with the answer from the team's KB — author, date, the linked source. No "have you searched Confluence?" thread.

Pro and Team plans add note-level end-to-end encryption for the most sensitive material. The MCP layer respects these permissions — Claude only sees what the asking member is allowed to see.

    Pro and Team plans include note-level end-to-end encryption (AES-256-GCM); encrypted notes are not searchable or embeddable on the server. The Free tier uses transport encryption. Login is hardened with 2FA, device fingerprinting, and anomaly detection. Workspace data stays under the team's account; there is no cross-workspace retrieval.
